The full mission briefing
01 Your mission
Separate incoming paper from records you need to keep. You do not need a perfect filing cabinet; you need a reliable place for actions, reference material, and important originals.
02 Make three first decisions
For each paper, decide whether it needs an action, belongs in reference storage, or can be discarded appropriately. An action might be responding, scheduling, or paying. Put the deadline in your task system rather than relying on the paper’s dramatic placement on the kitchen table.
03 Use broad, useful categories
Start with categories such as home, vehicle, health, and finance, then refine only when retrieval becomes difficult. Label files with words you would actually search for. Avoid keeping duplicate copies without a reason.
04 Protect important originals
Keep original identity, ownership, and other critical documents in appropriate secure storage. Retention periods vary by document and circumstance; verify them with the relevant agency or professional rather than using a blanket internet rule. Store sensitive papers out of public view.
05 Scan with a retrieval plan
If you digitize a document, use a consistent name such as date, subject, and document type. Protect files with appropriate access controls and backups. A scan is not automatically a substitute for a legally required original. Verify the need before destroying anything.
06 Stopping point
Incoming paper has a destination and your next review is scheduled. Choose a folder or file box only after seeing your categories and volume. The system succeeds when you can retrieve a record, not when every folder contains exactly the same amount of paper.
